Tools & Equipment

The Tools tile is the central hub for all asset sign-outs — radios, fuel keys, CAS units, and general tools and equipment. You can scan QR codes to sign out multiple items at once, request handoffs, and return items.

Signing out tools

1. Open the Tools tile from the portal
2. Scan the item's QR code, or browse the available list by category
3. Tap Sign Out — the item is logged to you with a timestamp
4. You can scan and queue multiple items before submitting the batch

Radios, fuel keys, CAS units, and general tools all share a single unified scanner screen — you don't need to pick an asset type before scanning. When a code is scanned, the scanner first checks it against OSK-assigned ID prefixes (Radio-, FKEY-, CAS-, TOOL-, TG-) and falls back to a serial number lookup if no prefix matches. Each scan resolves in a single request.

Requesting a return

Returns go through admin approval:

1. Find your item in the signed-out list
2. Tap Request Return
3. An admin approves or rejects from Pending Approvals

Handoffs

If another crew member needs an item you have signed out:

1. They scan the item's QR code
2. Tap Request Handoff
3. You receive a notification to approve or decline
4. On approval the item transfers without needing to go back to the pool first

Reporting an issue

Tap Report Issue from any item detail to flag damage or a problem. The report is logged to the asset's history and sent to admins.

Shared assets from partner organizations

If your organization has an active Partner Organization with asset sharing enabled, tools and equipment from that partner appear in the asset list alongside your own. Shared items are tagged with the partner's org-code badge so it's always clear which organization owns them.

Sign-out requests against shared partner assets follow the same approval flow — the request is routed to the partner org's admins for approval.

Admin view

Admins manage all tool inventory from the Asset Database tile:

• View full inventory with status and current holders (including shared partner org assets, tagged by org)
• Approve or reject pending return requests
• Add, edit, archive, and categorise tool records
• Bulk import via CSV
• Print QR code label sheets
• View sign-out history per item
