Projects
The Projects tile tracks field projects from kickoff through completion — inspection areas, concerns/issues, a compliance checklist, work orders, and required role assignments — with an org-wide activity feed so nothing gets missed.
TIP
Projects requires per-user access. Admins see every project in the organization; everyone else only sees projects they're added to as a Full Access or Limited Access member. If you need access, use the Request Access tile.
Project list
The list shows every project you have access to, with at-a-glance status:
- Status badge (Active, On Hold, Completed, Cancelled)
- Overdue badge when a checklist item or work order is past due
- ● N Concerns badge when there are open concerns
- Linked Work Order (WO) and Purchase Order (PO) numbers
Use the Filter by Status dropdown to narrow the list. Admins can create a new project with + New Project.
Project detail
Opening a project shows:
Recent Activity
A feed of everything that's happened on this project — concerns raised or resolved, documents linked, checklist uploads, and work order changes.
Inspection Areas
Project-specific inspection points that members can submit checks against, similar to Equipment Inspections but scoped to this project.
Concerns
Anyone with access — Full or Limited — can raise a concern:
- Tap + Raise a Concern
- Give it a title and description
- Submit
Concerns move through Open → In Progress → Resolved. Only Admins can change a concern's status or assign follow-up actions to a user. Raised and resolved concerns appear in the project's Recent Activity and in the My Updates panel for members with access.
Compliance Checklist
A per-project checklist of required items. Each item can require:
- A file upload — Limited Access members can view and remove files they uploaded themselves; only Full Access members and Admins can remove any file
- Competencies — role assignments (Project Coordinator, GD Supervisor, Service Provider Supervisor, Locator, Equipment Operator) that are validated against each assignee's training record in Onboarding. A checklist item gated on Competencies can't be marked complete until every assigned person has a valid, unexpired certification for their role
Only Full Access members and Admins can upload checklist documents; Limited Access members can view checklist status but not add files unless the item allows it.
Work Orders
A project can have one or more Work Orders, each identified by an 8-digit WO number with its own description. Work Order numbers must be unique within a project.
Membership
Admins manage who has Full Access or Limited Access to a project from the project detail screen. See the permission differences in Roles & Permissions.
A project can also grant access to a member of a linked Partner Organization — they get the same permissions as any other member, scoped to that one project.
Recent Project Activity (org-wide feed)
Below the project list, the Recent Project Activity panel shows a combined feed of activity across every project you can see — checks, concerns raised/resolved, documents linked, and checklist uploads.
- Anything you haven't seen yet is shown first, unpaginated
- Everything else defaults to the 5 most recent items, with Previous / Next to page through older activity
- The badge next to the panel title only counts activity from the last 2 weeks — it's a "what's recent" signal, not a total. Older activity is still there and reachable via Previous/Next, it just isn't counted in the badge
Admin: Docs tab
Admins have a second Docs tab alongside Projects, for managing documents linked across all projects in one place rather than per-project.
